SALES ADMINISTRATIVE ASSISTANT 

Full-Time | Location: Amherst 

We are a leading manufacturers’ representative of hydronic heating and cooling systems distribution for Upstate NY and Western PA. Our primary manufacturer, Xylem, Inc., leads the industry with the recognized names of Bell & Gossett and Goulds. 

We specialize in pumps, heat exchangers, boilers, boiler controls and other products to handle water and steam in the heating and plumbing industry. 

We are a 100% ESOP company with every employee owner supporting our corporate values to provide the best in customer service. 

We are currently seeking a Sales Administrative Assistant to join our team. 

This position supports the inside and outside sales departments by performing the duties and responsibilities outlined below. 

Responsibilities and Duties: 

  • Prepare sales quotations 
  • Prepare project submittals 
  • Prepare and maintain pre and post bid project paperwork 
  • Effectively utilize company and vendor ERP systems 
  • Maintain both electronic files and paper files 
  • Understand and support company policies and procedures, provide exceptional customer service and align with company objectives 
  • Prioritize and manage multiple projects with hard deadlines simultaneously 
  • Maintain technical knowledge by attending industry related educational events such as training sessions, presentations, and workshops 
  • Perform additional duties and responsibilities as requested, directed, or assigned 

Qualifications and Skills: 

  • Communicate effectively in English, both verbally and electronically, with customers, team members, and supervisors 
  • Perform basic math functions with accuracy (add, subtract, multiply, divide, percent, decimals, fractions) 
  • Proficiency in Microsoft Excel, Word, Outlook, and PDF editing. Ability to operate basic office equipment such as printer, copier, phone, calculator 
  • Strong time management and organizational skills with the ability to work well under pressure, within deadlines, and rapidly changing priorities 
  • Ability to work independently and as part of a team
